FeedPrep ("we," "us," or "our") operates the feedprep.com website and the FeedPrep application. This page informs you of our policies regarding the collection, use, and disclosure of personal data when you use our Service.
1. Data We Collect
Account Data
When you create an account, we collect your name, email address, and password (hashed). If you use Google OAuth, we receive your name and email from Google.
Product Data You Upload
You upload supplier data files (CSV, XLSX, XML) for processing. This data may contain product information such as names, descriptions, prices, and attributes. We process this data on your behalf and store it according to your plan's retention period.
Usage Data
We collect information about how you use the Service: pages visited, features used, feeds processed, and exports generated. This helps us improve the product.
Technical Data
We collect IP addresses, browser type, operating system, and device information for security and troubleshooting purposes.
2. How We Use Your Data
- To provide the Service: Processing your supplier data files, applying normalization rules, generating exports.
- To improve the Service: Understanding usage patterns to improve features and performance.
- To communicate with you: Account notifications, product updates, and support responses.
- To ensure security: Detecting and preventing fraud, abuse, and unauthorized access.
3. Data Storage and Security
All data is stored in EU data centers (Frankfurt, Germany). We use TLS 1.3 for all data in transit and AES-256 encryption for data at rest.
Your product data is isolated per workspace. No cross-workspace data access is possible through the application.
4. Data Retention
- Feed files and processed data: Retained according to your plan (30 days to 1 year). Permanently deleted after the retention period.
- Export files: Available for 30 days after generation, then deleted.
- Account data: Retained until you delete your account. Permanently deleted within 30 days of account deletion request.
- Audit logs: Retained for 1 year, then archived and purged.
5. AI Features and Your Data
FeedPrep offers optional AI-assisted mapping suggestions. When you use AI features:
- Column names and sample values are sent to our AI provider (OpenAI) for processing.
- Your raw product data (full rows, descriptions, prices) is not sent to AI providers.
- Your data is never used for AI training by FeedPrep or our AI providers.
- AI features are optional. The core product works without them.
6. Global Mapping Intelligence
FeedPrep maintains an anonymized knowledge base of column name and value mapping patterns across workspaces. This feature:
- Only stores structural patterns (e.g., "colour_name" maps to "color").
- Does not store raw product data, supplier names, or user information.
- Is opt-in (enabled by default, can be disabled in workspace settings).
- Applies irreversible anonymization before storage.
7. Third-Party Services
We use the following third-party services:
- Hetzner: Infrastructure and data storage (EU)
- OpenAI: AI-assisted mapping suggestions (optional feature only)
- Stripe: Payment processing
8. Your Rights (GDPR)
As a data processor, we support your rights under GDPR:
- Access: Export all your data via the API at any time.
- Rectification: Update your account information in settings.
- Erasure: Delete your account and all associated data. Completed within 30 days.
- Portability: Export your data in standard formats (CSV, JSON).
- Objection: Opt out of Global Mapping Intelligence at any time.

9. Cookies
We use essential cookies for authentication and session management. We do not use advertising or tracking cookies. Analytics, if used, will be privacy-respecting and EU-hosted.
